Guest-list chaos begins when names, seats and invitations are treated as the same thing. One household may contain five guests, receive one invitation and require two dietary notes. Build the list around records, not a column of names passed between relatives.

Give every household one row and one owner

Record household label, individually invited people, children, contact method, side of family, event eligibility, accessibility, dietary needs, invitation owner and RSVP status. The owner is responsible for clarification; they are not entitled to expand the row without capacity approval.

Allocate capacity before negotiating names

Reserve seats for couple, immediate households, essential accessibility companions and supplier meals. Divide the remaining capacity transparently between agreed groups. Keep a waitlist separate; never send an invitation whose validity depends on somebody else declining.

  1. Use one master file with controlled editors.
  2. Freeze spelling and household membership before addressing invitations.
  3. Chase unanswered RSVPs once with a clear deadline.
  4. Log every change and notify catering/seating owners from the same record.

Resolve conflict with numbers and relationships

When a relative requests additions, show the available capacity, the allocation already used and which approved names would have to move. This turns a vague argument about respect into a visible decision. Give the couple a protected route to invite people from their own lives; family allocations should not consume every seat. Where separate events have different capacities, record invitations per event rather than assuming a mehndi invitation automatically extends to the walima.

Keep private notes minimal and factual; a guest list is sensitive family data, not a place for commentary. Archive the final version after the wedding and delete unnecessary working copies. The goal is not a perfect spreadsheet. It is one trustworthy answer to the question: who has actually been invited?
